Our lawful bases for the collection and use of your data
Our lawful bases for collecting or using personal information for the operation of client or customer accounts are:
• Consent - we have permission from you after we gave you all the relevant information. All ofyour data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.
• Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
o Personal information regarding clients such as DOB, phone number, email, home address, previous addresses, National Insurance Number, Driving Licence, passport number, payslips, bank statements and bank account details and sources of income may be held by Rutland Finance Ltd for the purposes of identification verification and loan affordability and to carry out credit checks on potential clients and current clients (with their express approval). This data is held securely and not shared with any third party - other than our retained solicitors who may use ID information to carry out their necessary identification verification requirements. The benefits of holding this information allow us to ensure that any lending is appropriate and affordable and that we can monitor any accounts for potential signs of default and to allow early intervention and assistance. This data is never held on any shared network or used for marketing purposes.

• Financial Records: Retained for a minimum of 6 years to comply with accounting and tax regulations.
• Customer Records: Retained for 2 years after the end of the customer relationship to fulfill business and legal obligations.
• Email and Communication: Retained for 4 years unless subject to specific legal or business requirements.
• Contracts and Agreements: Retained for 6 years after the expiration of the contract to meet legal and business needs.
• Regulated Data: Retained according to specific regulatory requirements applicable to the type of data.
